Maintenance Coordinator is responsible for coordinating, monitoring, and supporting all maintenance activities to ensure facilities, equipment, and services are maintained efficiently, safely, and in compliance with contractual, statutory, and quality standards. The role serves as a key link between tenants/users, technicians, contractors, and management.
Job Responsibilities/Accountabilities:
1) Maintenance Coordination
- Receive, log, and coordinate maintenance requests (reactive and planned).
- Schedule and follow up on preventive and corrective maintenance activities.
- Coordinate with internal teams and external service providers to ensure timely completion of works.
- Monitor work progress and ensure tasks are completed as per scope, SLA, and quality standards.
2) Contractor & Vendor Management
- Coordinate site access permits to work (PTW), and supervision of contractors.
- Verify service completion before endorsing reports and invoices.
- Escalate issues related to delays, poor workmanship, or non-compliance.
3) Documentation & Reporting
- Maintain accurate records of work orders, service reports, inspections, and maintenance logs.
- Support preparation of weekly/monthly maintenance reports and trackers.
- Ensure proper filing of warranties, manuals, and maintenance records.
4) Health, Safety & Compliance
- Ensure all maintenance activities comply with HSE regulations and site rules.
- Report safety hazards, incidents, and non-compliance immediately.
- Support statutory inspections and audits (Civil Defense, municipality, client audits).
5) Tenant / User Coordination
- Handle complaints professionally and support resolution.
6) Administrative Support
- Prepare reports and performs other related work as assigned by the Engineer.
