The ideal candidate will demonstrate exceptional coordination skills, attention to detail, financial awareness, and the ability to manage confidential information with the highest level of professionalism.Key ResponsibilitiesExecutive & Calendar ManagementManage and coordinate a complex calendar, including internal and external meetings, VIP engagements, partner appointments, and high-level discussions.Act as the primary point of contact between the CEO and internal/external stakeholders, including executives, partners, clients, suppliers, and VIPs.Ensure smooth communication flow and timely follow-ups on all action items.Travel & Logistics ManagementHandle comprehensive business and personal travel arrangements including visa applications, flight bookings, hotel reservations, ground transfers, and preparation of detailed travel itineraries.Assist with travel arrangements for household staff when required.Oversee logistics coordination for both corporate and personal requirements, including procurement, order processing, and delivery management.Financial & Banking CoordinationManage authorized banking transactions including cash and cheque deposits, fund transfers, mutual fund withdrawals/updates, and other financial activities as directed.Maintain organized financial documentation and records.Asset & Property ManagementMaintain accurate records of corporate and personal assets including real estate properties and motor vehicles.Liaise with property developers, real estate owners, and agents on property-related matters.Coordinate property title transfers and oversee associated documentation and compliance requirements.Documentation & Legal CoordinationAct as the central control point for all documents requiring CEO review, approval, and signature.Facilitate legal documentation processes including contract reviews and amendments, new applications, coordination with PROs, draft agreement reviews, and arranging notary appointments.Track validity and renewals of essential documents for the CEO and family, including passports, multiple-entry visas, and insurance policies (health, travel, and motor).Healthcare & Personal CoordinationMonitor and coordinate the CEO’s medical check-ups and appointments.Maintain updated records of healthcare providers and medical contacts.Corporate Relations & EventsArrange and coordinate VIP corporate gifts for selected partners and VIPs.Organize executive events and celebrations (e.g., CEO and COO birthdays) as required.
